BPI is an umbrella term that describes any process, system, or workflow that can be improved to make things more efficient, effective, and/or better. The word “process” in this context refers to what happens every time someone uses your product or service.
Business processes are usually focused on achieving a specific goal with the least amount of effort. For example, when you go shopping online, your browser automatically takes you to the best-rated website for your destination, and it will compare prices across all sites to create a list of the most competitive offers.
Online shopping has become one of the biggest industries around because of this! However, before these tools existed, people would shop as a matter of luck – they could either find something they wanted at a good price or they couldn’t.
Now, though, there are ways to save money by looking out for yourself. You should always do some research before buying anything, but sometimes no research is needed since the products are clearly worth it.
However, if you are like many other people who have spent lots of money due to poor research and sales tactics, you may want to look into improving your own business process. This article will talk about some potential areas to improve.
Reminder: even if you aren’t planning on doing any of the things mentioned here, learning how to implement basic changes can help you feel more confident in your ability to run your own business.
Steps in Bpi
First, you need to assess your current business processes and see what can be improved or streamlined. This is the initial step of any Bpi project as it ensures that you are not wasting time and resources on things that you have determined are no longer important.
You may also find there to be too many steps involved in an existing process, with several people having separate responsibilities within those steps. By standardizing these processes and delegating appropriate tasks to each person, we can improve efficiency and reduce costs.
Next, determine how well your current processes work and if they are the most effective. Are certain tools used for performing a task more efficient than others? If so, use those tools instead!
And lastly, implement changes into approved procedures or create new ones.
Creating a Bpi team
As mentioned before, Bpis typically begin with a non-executive leadership member coming up with an idea to improve how their department or division runs its business processes.
This person is then able to recruit other executives that are also passionate about improving the organization’s efficiency. These recruits often work in different areas of the company, so they don’t need to be completely aligned with the initial bpu leader.
A good Bpu team will have members from all levels of the organization. This includes superiors who know you as a competent employee and underlings who may benefit from your expertise.
The Bpu team will usually meet every few weeks for one or two hours to discuss ideas. They can either do this as a formal meeting or via email or messenger apps.
After the brainstorming session, someone on the team will start creating a plan to implement the solution. This could include finding software to help with the process, talking to people at lower levels to see if it makes sense, and figuring out what resources are needed to make the new system function properly.
Brainstorm Bpi ideas
One of the most important things to do as part of any business process improvement project is to brainstorm potential projects. Even if you already have all the materials in your office, there’s always something that can be reorganized or replaced with more efficient alternatives.
As mentioned before, start by thinking about what areas of your work routine could use an overhaul. Then, determine whether those changes are internal processes such as making calls back to back or external ones like calling someone for a job interview.
Once you have determined which area is the least effective, evaluate whether these tweaks are done consistently and if they make a difference. If so, see if it’s possible to eliminate one of them completely while keeping the rest the same.
If possible, try testing out the new process to see if it works better than the old one.
Establish the plan
The next step in business process improvement is to establish an action plan that will have you moving towards your goal. This plan should include what steps you will take, when these steps will be done, who will play a role in these steps, and how much time each person will need to contribute to the success of this project.
Everyone involved with BPI must know their individual responsibility for the project. No one can do it alone! It is also important to identify which people are supportive or discouraging so that you can address those issues early on.
When establishing deadlines it is best to be as strict as possible but not unreasonable. If someone cannot meet their deadline then they should notify us at least two weeks before so we have enough time to find replacements or help them push back their date.
Plan A-General Plan
There is no specific order to implement changes into our business processes. You can choose to make improvements anywhere from improving efficiency, reducing costs, and/or creating new procedures. All of these things apply to different stages of projects and departments within your company.
Measure Bpi results
A process is not necessarily efficient or effective it can simply be done well! This is why many organizations will have what they call a “good” process. They may even use this good process as their standard operating procedure (SOP).
Why? Because it has been optimized for efficiency thus far – which is great! But what if there was a way to make it more effective, efficient however is no longer the goal — effectiveness is now the goal!
What if we made changes to improve the quality of the output of the process? What if we improved the components of the process to ensure that the desired end result is achieved with higher accuracy and precision?
This is where business process improvement (bpi) comes in. bpis focus on optimizing one or more parts of an organization’s work processes to achieve better quality outputs and outcomes.
The term bpi was first coined in 1995 by Ron Heffner, CEO of Strategic Management Group. Since then, Heffner has dedicated his career to helping companies implement bpis and using the term effectively.
Recent studies have shown that more than half of all business failures are due to bad leadership or poor process. The vast majority of these failures occur for one simple reason: people do not know their job well enough, they do not perform it properly, or they use faulty processes that lack efficiency.
If you work in an organization with high failure rates, there is a good chance that you have been trained in some sort of BPI program. These programs typically focus on optimizing current procedures, finding new ways to improve efficiencies, changing how things are done around the office, etc.
By understanding the underlying reasons why your company fails, you can begin to implement solutions to prevent future failures. If you feel like your job has little impact, spend time looking into what steps can be taken to help others learn as much as possible about their area of responsibility.
A lot of times, large corporations will need to improve certain business processes or systems. This can include things like changing how internal documents are organized, creating new documents, introducing new software packages, etc.
While these changes should be done with care so that people do not feel left out, it is important to realize that such changes may require legal action.
For example, if an employee finds their job very satisfying and they feel like what they are doing does not change then there is no motivation for them to stay, which could potentially lead to quitting and/or hiring conflicts. If this happens during the start up stages of project implementation, then the company would have to find replacements quickly!
Business process improvement typically means making changes to what we refer to as our “systems” or “processes”. These are usually characterized by set actions that must occur in a specific order for everything to function properly.
Leadership in Bpi
As mentioned before, not every business has the resources to implement significant changes that require substantial investment. With this being said, there are some ways to improve your business process without having large-scale overhauls. This is what we refer to as business process improvement or bpi for short.
Business process improvement can be done at any level of an organization - from departmental levels down to individual employees.
Here are some examples of how you can make small changes within your own workplace or anywhere else you do business; these will help you achieve better results more efficiently:
Make changing tasks easier – Use digital tools to create and edit documents easily. Invest in good quality computers so you don’t have to work with low quality equipment. Create apps that reduce the need to use the web browser which can be cumbersome.
These tweaks will save time because you won’t have to go through the lengthy process of finding, downloading and installing the software yourself or waiting for someone who does to prepare it. It also helps if everyone uses the same app, otherwise may have to learn another one.
Find new cost-effective ways to complete jobs – Do you spend a lot of money buying supplies and materials? Try looking into alternative sources and see if you can get the same thing much cheaper!
There may be things you could buy second hand or even free depending on whether they've been donated or thrown out.
